AI appointment booking for a clinic in Québec: 2026 guide
An AI voice agent can book, move and cancel your clinic’s appointments by phone, in French and English, straight into your calendar, and send the confirmation by text. It must not give medical advice: for an emergency it directs people to 911; for health advice, to Info-Santé 811 or to your team. Before choosing, check three things: that it writes into the calendar you already use, that it collects only what the appointment needs — health information is sensitive under Québec’s Law 25 — and that it transfers the call to you when the situation calls for it.
Published by Zen Solutions (Laval), which sells one of these services. We rank nobody here: prices come from the vendors’ own pages, rules from the text of the law, with the links. Spotted an error? Write to info@zen-solutions.net.
What it does for a clinic
- Book a new patient: name, number, appointment type, practitioner, preferred times.
- Move or cancel an appointment, and offer the freed slot to the waiting list.
- Send a confirmation by text, then a reminder before the appointment.
- Answer common questions with your information: hours, address, parking, preparation before a treatment, insurance accepted.
- Serve people in French and English, and follow a caller who switches languages.
What it must not do
- Give medical advice, a diagnosis, or decide whether it is urgent. The rules you give it decide: a serious problem means 911 or the emergency room; health advice, Info-Santé 811; the rest, your team.
- Collect symptoms in detail: the reason for the appointment is enough. Health information is sensitive (s. 12); collect only what is necessary (s. 5).
- Promise a slot it cannot see: if it has no access to your calendar, it takes a request and your team confirms.
Your calendar
The first question is simple: where do your appointments live? In Google Calendar or Outlook, the agent can write directly. In clinic software, ask whether the agent writes there itself or takes a request your team confirms. If some of your appointments go through an outside system — Rendez-vous santé Québec, for example — the agent should inform and direct the person rather than book in place of that system.
Questions to ask
- Does the agent write into my calendar or software, or take requests?
- Which rules trigger a transfer to my team, and can I change them myself?
- What does the agent say when someone describes an urgent situation?
- What information does the agent keep, where, and for how long?
- Are text reminders included, and can I change their wording?
- What does my team receive after each call?

Frequently asked questions
- Can an AI agent book appointments for a dental clinic?
- Yes: it books, moves and cancels appointments by phone, in French and English, and sends the confirmation by text. Check that it writes into the calendar or software the clinic already uses, or that it takes a request the team confirms.
- Is it safe for health information?
- Health information is sensitive under Law 25. The agent should collect only what the appointment needs, and you should know where the data is processed, how long it is kept and what the contract with the vendor provides.
- What does the agent do if a patient describes an emergency?
- It follows your rules: a serious problem means 911 or the emergency room; health advice, Info-Santé 811; and it can transfer the call to your team. It does not diagnose.
- Does the agent work in English for a Montreal clinic?
- Yes, a bilingual agent answers in the caller’s language and follows them if they switch languages during the call.
